What do I have to pay attention to if I have more than one booth at a trade fair?

Booth selection

If you have several booths at a trade show, after login, the system will ask you for which booth you wish to place an order. If you want to switch between booths at a later stage you will find the booth selection on the left side under the button “My Account”.

Please note:
Sub-Accounts see only booths which they were authorized for. If you handle the orders for several booths but do not see them all please contact the exhibitor's main contact, he has to enter the shop and authorize you manually.

Change the selected booth

Within a trade show you can switch between your different booths to place your orders. You find the booth selection on the left side under the button “My Account”.

Authorizations

Can I authorize other people to place orders in my name and on my account?

At any time you can authorize other people to place orders for your booth. To do so, proceed as follows: Click on “My Account”. In the drop-down menu select “Manage Permissions”. On the page that opens, enter the e-mail address of the respective person and press "Send". The recipient will receive a registration e-mail, after the successful registration the person can place orders for your booth.

Please note:
We allow only one invoice recipient per stand. The splitting of an invoice is not possible.

Can I revoke a given authorization?

You can cancel given authorizations. Under “My Account”, click “Manage Permission” and deactivate the corresponding authorization.

Invoicing

Correct invoicing

The mandatory invoice recipient form, completed with all your relevant company data, ensures that you receive the invoice in the correct manner so that it can be processed and paid within your company.

Messe München GmbH does not fill out any forms from exhibiting companies and their contractors that are intended to enable them to process invoices internally, such as supplier registration forms, etc. You will find all relevant data on the invoices and in our vendor form.

You can enter a differing and updated company name as well as delivery address, contact person and/or order numbers in the form, which we will gladly add to your invoices for you.

Prepayment invoice

You will receive a prepayment invoice for each booked stand with a fixed rate of EUR 30.00 per square meter plus VAT. The invoice is issued regardless of existence or scope of any orders for services.

The prepayment invoice must be paid in full no later than six weeks before the event. Due to German tax law, prepayment invoices must always include VAT, regardless of a VAT ID from EU countries.

Unpaid invoices, including those from previous years and other events at Messe München GmbH, can result in ordered services not being confirmed and provided until all outstanding invoices have been settled. For example, electricity and water connections may not be available in time for set-up. A late payment fee will then be charged, regardless of the date of the order.

Please note that the prepayment deposit will not be offset against stand construction services provided by MEPLAN GmbH or advertising space booked via Messe München. These invoices are to be paid independently.

Final invoice

After the event, the final invoice for the services actually ordered and provided will follow within approximately four to six weeks.

Any difference in your favor, including overpaid VAT, will be refunded after receipt of the bank details provided by you. You will receive a form with the final invoice to provide your bank details or you can send an e-mail to bankdetails@messe-muenchen.de .

Any difference in our favor must be settled immediately upon receipt of the invoice.

Invoice recipient

Invoice splitting is not possible. Per booth all products and services are invoiced to to one invoice recipient only. Even if the invoice is issued to a differing invoice address, the exhibitor remains our fist point of contact in the event of unpaid invoices until all invoices have been paid.

Electronic invoicing (e-billing)

Please confirm agreement to electronic invoicing (e-billing) by entering a permanently qualified e-mail address on the form. In recent years, international exhibitors have found that e-billing allows invoices to be processed and paid more quickly and securely. This significantly reduces the reminder and collection costs for invoice recipients.

Please send the form by e-mail immediately and before the prepayment invoice is issued at the beginning of March. Any subsequent changes to invoices will be charged with a fee of EUR 50.00 plus VAT.

Changing an invoice address

Differing invoice addresses or updating invoice addresses can only be considered up to six weeks before the start of the event. To do so, please complete the mandatory invoice recipient form, click on the SEND button on the form or send it to request@messe-muenchen.de .

Other questions

Will I receive an order confirmation?

You will receive a confirmation via e-mail after completing the order.

Can I still see my order after it has been completed?

Yes, an overview of all placed orders—including the current status of each—can be found under “My Account”, select “My Orders” in the drop-down menu.

What are the system requirements for my browser?

The exhibitor shop can be used with current versions of Internet Explorer, Firefox and Chrome. Internet Explorer is supported from version 8. Chrome is the preferred browser.

Can I cancel a whole order or an individual item?

You can cancel order items up to 30 days before the event. After this deadline, you can only submit a cancellation request. Call up your orders, click on the order product ID and afterwars on the button “Cancel Order”.

How do I order products marked “Request Offer”?

Some products are only available on request and cannot be put directly into the shopping cart. This may be because the product is currently not available, the official order deadline has passed, or because contact with the supplier is needed first.

How do I change my password?

You can change your password at any time during the login process. To do this, use the button “Forgot Password” in the login screen.
